UK supplier guide
AI RFP discovery:
check the procurement portal’s sources
An AI procurement portal reads notices for you. Its value depends on which sources it reads, which notices it misses and whether you can check its reasons.
Find notices to review →Checked against primary sources43 sources linked below
- Name the registers
- Read one match end to end
- Check updates and duplicates
- Decide whether it fits
Named sources make coverage testable
Ask what is read and what is excluded.Forward notices are preparation signals
Check the actual invitation before responding.Evidence belongs beside the decision
Keep the buyer’s wording, update date and team owner.
What does an AI procurement portal actually find?
Published notices within its stated sources, not every possible contract.
A commercial discovery tool reads public registers and helps a supplier review them.
Private invitations, unpublished requirements and some framework call-offs cannot be inferred from a search result.
RFP Quest’s public list reads Find a Tender and Contracts Finder; wider register coverage is not promised.
- Ask for the sources by name.
- Separate plans, engagement, tenders and awards.
- Open the buyer’s published wording.
- No public service can reveal an invitation it never received.
Which UK registers should your tool name?
The ones relevant to your market, with exclusions stated plainly.
| Source | What to check |
|---|---|
| Find a Tender | Procurement Act notices and notices under earlier regimes. |
| Contracts Finder | Legacy procurements and any records relevant to the buyer. |
| Public Contracts Scotland | Devolved Scottish opportunities under separate rules. |
| Sell2Wales | Welsh publication and buyer instructions. |
| eTendersNI | Northern Ireland opportunities and submission instructions. |
How do you test whether an AI finder earns the team's attention?
Check coverage and freshness first, then whether the result gives a reason to investigate.
- Start with the source01
Name the registers
Ask which official services supply the results and what the tool does not cover. - Define the scope02
Read one match end to end
Open the primary notice and compare buyer, stage, lot, value and deadline. - Read the evidence03
Check updates and duplicates
Look for corrections and later notices rather than counting repeated versions as new work. - Make the decision04
Decide whether it fits
Compare the opportunity with the company's evidenced capability and capacity. - Name the next action05
Set a review routine
Give the team a way to review alerts and record the next action without treating a keyword match as a bid decision.
A supplier’s review sequence, based on the primary sources below. It is not a measured outcome or a prescribed buyer timetable.
What does a real discovery result still require you to read?
The stage, lot and response instructions in the original notice.
Northumbrian Water’s FA08-31 Commercial Services notice shows £120 million excluding VAT as an estimated framework value, not revenue for one supplier.
The deadline below is for expressions of interest, not a final tender.
This is a public worked example checked 12 October 2026, not a customer or recommendation to bid; Northumbrian Water · 095006-2026.
Publication
Read the lots and scope.Expression of interest
Confirm the current buyer instructions.Planned start
A stated future period, not an award.
How much review time can your team authorise?
Calculate the work from your own hours and costs before paying for more alerts.
This calculates preparation cost, not forecast savings, bid probability or a recommended subscription price.
Your bid effort
Starting figures are an illustration, not a measured average or a saving promised by RFP Quest.
£4,000 and 80 team hours each month if you prepare every bid.
Use the estimate to decide how much work to authorise before drafting starts.
It excludes software fees and external costs.
- This bid£2,000
- Other bids this month£2,000
Why watch notices before a tender opens?
They can show a buyer’s plans while there is still time to prepare.
Publication duties depend on the buyer and notice type; an early signal does not guarantee a tender will follow.
- Section 93 defines the qualifying buyers and reporting period.
- A qualifying planned notice affects the tendering period.
- The buyer may invite suppliers to help inform the requirement.
- Read the actual period and any permitted reduction.
Which discovery decisions can you delegate to AI?
Use suggestions for review and keep the source beside consequential decisions.
A notice appears to fit
Reading assistance
Summaries and similarity can shorten a first review, with the original sentence retained.Team decision
Eligibility, certification scope, price and the decision to bid require your evidence and confirmation.
How do you test a finder before relying on its alerts?
Use known notices and compare what it finds, misses and explains.
Repeatable checks
Known record
Search a notice you can identify in the primary register.
- Search a notice you can identify in the primary register.
